How PolarBER works
Each dwelling goes through two steps. You’re in control at the end of each one.
Step 1: Your DEAP Survey Form
- Create a job and upload the PlanUp Sketch PDF and PlanUp EPC Report PDF. Photos and contractor receipts are optional extra evidence.
- Answer the intake questions in one go: which rooms are extensions, which walls are party walls and how high they run, build years, whether PlanUp heights are ceiling or floor-to-floor, and kneewall and gable heights for any room in the roof.
- PolarBER checks every file. Sizes are verified, PDFs are checked for completeness, and missing sources are flagged before any work starts.
- Rooms, floors and openings are reconciled across the sketch and report. Upper floors are compared against the floor below for overhangs, and sketch labels are checked against their printed areas.
- Nett wall areas are calculated per wall type and age band, per floor, as live formulas with the working shown. Party walls are excluded, and rooflights are kept out of wall deductions.
- You download the completed survey form. The source of each figure is in its cell comments, and any Unresolved Items are listed for you to check.
Step 2: DEAP4 entry
- Click Enter into DEAP4. The DEAP4 portal opens in a secure browser window inside PolarBER.
- Log in yourself. Your password goes directly to SEAI’s portal. PolarBER never sees or stores it.
- Click Hand over. PolarBER confirms it’s logged in under your BER number, then enters Floors, Roofs, Walls, Rooms, Doors and Windows, and Global Factors.
- Every save is checked. Tab totals, such as Total Heat Loss Wall Area, are compared against your survey form.
- Watch live, or stop at any time. The Stop button gives the browser straight back to you.
- You get a Portal Entry Report listing everything entered and everything left for you. Then you review and publish in DEAP4, the same as always.
What PolarBER will never do
- Publish, submit or certify a BER. This is blocked in the platform itself.
- Enter or store your DEAP4 password.
- Guess a construction type, U-value, glazing specification, heating efficiency or any other value your files don’t support.
